Requirements gathering / RFQ creation process

  • Start with an appropriate RFQ template for your project.

  • Incorporate your strategy document into the RFQ (Background, project overview, goals, objectives, as-is and desired to-be state).

  • Pull in sections from your business case (i.e. expected ROI)

  • Create your detailed functional and technical requirements (must haves) for the project from your interview data (gathered during your strategy document creation).

  • Define other optional requirements (to be used to evaluate how the vendor’s product will me your future needs).

  • Require vendors in their RFQ responses to rank their ability to meet each of our requirements.

  • If you are considering building the solution in-house, require your team to go through the same exercise.

Best Practice in this area:

-  Require that vendors give answers on how they will meet your stated goals and objectives (not just requirements).
